Overview
Every call that starts with "did my quote come through?", "how far along is my machine?" or "can you resend that invoice?" is unplanned work for your front desk. MDMS answers those questions before they are asked. Each dealership gets its own branded customer portal on its own URL — your logo, your primary colour, your welcome message — and customers sign in with a one-time magic link, so there is no password to set up or forget. Once inside they see only their own records: the quotes you sent them, their invoices and balances, the equipment you have sold, serviced or hired to them, and every job against it. Isolation is enforced in the database, not the browser, so one customer can never see another's paperwork.
The portal is where work gets finished, not just watched. A customer opens a quote, reviews the line items, GST and total, then accepts it with a drawn or typed signature. The acceptance is recorded against the exact locked document version with signer name, email and timestamp, and the quote flips to approved in a single atomic step, with your team emailed the moment it lands. Declining with a reason is one click away and just as useful. Work orders show a live progress timeline from scheduled through in-progress, awaiting parts and invoiced, with the complaint, cause and correction written up and none of your internal costs exposed. Tracking links ride along inside your work-order emails, so even a customer who never signs in can follow a job like a parcel.
Dealers stay in control throughout. Switch each section on or off, invite users one at a time, and revoke or restore access the moment someone joins or leaves. The Customer Portal is its own module; in-portal quote signing also draws on the CPQ module that produces the signed quote document, so a dealer without CPQ leaves that one section off and runs the rest of the portal as normal.

How it works
- Switch the portal on in Admin: set your slug, logo, colour and welcome message, then choose which sections — quotes, invoices, equipment, service history, live job tracking and documents — your customers can see.
- Invite a customer by email. They get a branded invitation, sign in with a one-time link, and land on a dashboard showing their pending quotes, outstanding balance and active jobs.
- They accept and sign quotes, follow job progress and check balances themselves. The signature is stored against the locked quote document, the quote moves to approved, and your team is notified.
