Overview
Every month your hire and demo units lose value, but if that fall in value never gets recorded the balance sheet quietly overstates the fleet. Dealers who track depreciation in a spreadsheet, or not at all, carry excavators, dozers and tractors at close to their purchase price long after they should. When a unit is finally sold, the gain or loss lands as a surprise because nobody knew its real book value, and the numbers the accountant works from never quite tie back to the fleet on the ground.
MDMS keeps an asset register of every depreciable unit, holding its acquisition cost, accumulated depreciation and current book value in one place, with a fleet total that reconciles at a glance. You choose prime-cost or diminishing-value depreciation per asset, with a residual value floor so nothing depreciates below what it is worth. A monthly depreciation run posts the expense and accumulated depreciation straight to the general ledger, and it is idempotent, so re-running a period that is already posted never double-counts. When a unit is disposed, MDMS works out the gain or loss against its book value and posts that too, so there are no end-of-year surprises.

How it works
- Add each hire or demo unit to the asset register with its acquisition cost, method and residual floor.
- Run the monthly depreciation for the period to post expense and accumulated depreciation to the general ledger.
- Dispose a unit when it sells and let MDMS calculate and post the gain or loss against book value.
