Restrict User to Branch Access

Limit a person to chosen branches under Admin; policies on quotes, orders, invoices, jobs and other listed records enforce it.

Included with your module subscription at no extra charge. An administrator switches each pack on for your business in Admin > Features.

The overview

What branch access restriction is

In a group with several branches, the person at one counter has little reason to browse another branch's quotes. Branch access restriction lets an administrator choose, user by user, which branches that person works in. Their role stays the same across the whole business; only the branches they can see and change are limited.

The setting is in Admin, on the user. Once it is saved, the branch switcher offers only their branches, and database policy on the listed record types does the enforcing: quotes, sales orders, invoices, work orders (a technician keeps their own jobs), equipment units, payments received and made, purchase orders, rental contracts, warranty claims and build orders.

Be exact about what it covers. Administrators, dealer principals and anyone with no branch rows see everything, and rows that carry no branch remain visible. It does not apply to customers, leads or parts stock, or to tables outside the list above, and it is not enforced inside the database's internal functions. Treat it as a way to tidy and narrow what a branch-based employee works with, not as a complete privacy boundary.

Plan the rollout around who holds no branch rows. Administrators and dealer principals are never restricted, and neither is anyone who has simply not been given a branch, so the safe sequence is to add the branches for each restricted person, sign in as them to check the lists, and only then tell the team. The branch switcher is the quickest check: it offers only the branches that person has.

What branch access restriction covers

  • Adds a Branch access setting on each user under Admin
  • Limits what the person can see and change to the branches chosen, while their role stays the same across the business
  • Enforces it with database policy on quotes, sales orders, invoices, work orders, equipment units, payments received and made, purchase orders, rental contracts, warranty claims and build orders
  • Offers only their branches in the branch switcher, and lets a technician keep their own jobs

Where branch access restriction stops

Stated as it behaves today, so you can judge the fit before you switch it on.

  • Does not restrict admins, dealer principals or people with no branch rows; they see everything
  • Does not apply to customers, leads, parts stock or tables not listed above
  • Is not enforced inside the database's internal functions
  • Rows with no branch stay visible
A working example

Branch access restriction in a working day

A dealer with a coastal and an inland branch hires a sales rep for the inland yard. The administrator opens the new user, ticks only the inland branch, and saves. When the rep signs in, the branch switcher shows one choice, and the quote and sales order lists show inland records. The dealer principal, who has no branch rows, still sees both.
