The overview

What data quality monitor is

Dirty records are cheap to create and expensive to find. A machine saved without a serial number, two customer cards for the same farm, a part pointing at a bin that no longer exists: each of these turns up months later as a failed warranty claim, a double mailout or a stocktake argument. The data quality monitor goes looking.

It runs on the alerts engine, so it needs Alerts and escalation on. Every 15 minutes it runs the checks the administrator has enabled, and raises one in-app alert per check with a count and a few examples. The records behind the count open from the Alerts page. The checks cover machines with no serial number, parts with a bin that is not an active location, customers sharing an ABN, email, phone or business name, service schedules with no usable interval and machines no schedule covers, parts with conflicting or blank descriptions, invoices with a blank or placeholder number, finished chargeable or warranty jobs with no labour, blank part numbers, and timesheets, purchase orders, stocktakes and approval requests waiting more than seven days.

It reports and nothing else. It never edits a record, and a person decides what to fix. Duplicates are exact matches only, counts stop at 500, and a check can be noisy where free-text part lines are normal, in which case you simply leave that check switched off.

The checks are individually switchable, so a business starts with the two or three that matter most and adds others as it clears the backlog. Each alert carries a count and a few examples, which is enough to judge whether the issue is a handful of records or a pattern that needs a conversation with whoever enters them.

Where data quality monitor stops

Stated as it behaves today, so you can judge the fit before you switch it on.

  • Only reports; it never changes data
  • Needs Alerts and escalation switched on
  • Matches duplicate customers on exact values only
  • Stops counting at 500, and some checks are noisy where free-text part lines are normal
A working example

Data quality monitor in a working day

The office manager switches on the missing serial check and the duplicate customer check. The next morning there are two alerts: a list of machines with no serial and a handful of customers sharing an ABN. She works through the serial list with the workshop, merges the duplicate customers the way she always has, and watches the counts drop as the alerts clear themselves.
