Low Stock and Overdue Job Alerts for Dealers

The overview

What alerts and escalation is

Problems in a dealership usually surface when a customer rings. Alerts and escalation moves three of them earlier. Every 15 minutes MDMS looks for parts that have fallen below their reorder point once allocations to open service jobs are taken off, purchase orders with lines still to arrive after their expected date, and service work orders past their due date.

The administrator decides who hears about each kind of problem and how long an alert may sit unacknowledged before it escalates to other roles. Acknowledging an alert stops the escalation, and an alert clears itself when the underlying problem is fixed, so the list does not fill with stale items. Alerts appear in the app and as bell notifications.

Nothing runs until a rule has been saved under Admin > System > Alert rules, which means the pack does nothing surprising on the day it is switched on. It is in-app only, with no SMS or email. Escalation happens once. For stock, build orders, transfers and sales order reservations are not counted against what is on the shelf, and late deliveries use the purchase order's expected date, so it helps to keep those dates honest.

Stock alerts are worked out after allocations: the figure compared with the reorder point is stock less parts allocated to open service jobs but still to be issued, so a shelf that looks full on paper but is spoken for by jobs in the workshop is still flagged. Purchase order alerts honour optional grace days, which stops a delivery that is a day late from raising noise.

What alerts and escalation covers

  • Checks every 15 minutes for parts below reorder point after allocations to open service jobs
  • Checks purchase orders with lines still to arrive past their expected date, with optional grace days
  • Checks service work orders past their due date
  • Lets an administrator choose who is told, and after how many hours an unacknowledged alert escalates to other roles
  • Clears an alert by itself once the problem is fixed

Where alerts and escalation stops

Stated as it behaves today, so you can judge the fit before you switch it on.

  • Notifies in the app and bell only: no SMS and no email
  • Does nothing until a rule is saved in Admin > System > Alert rules
  • Escalates once
  • Does not count build orders, transfers or sales order reservations against stock
A working example

Alerts and escalation in a working day

On a Wednesday afternoon a supplier's delivery for a header repair is two days past its expected date. The purchasing officer is away, so the alert sits unacknowledged. After the number of hours the administrator chose, it escalates to the parts manager, who rings the supplier. The part arrives on Thursday, the purchase order closes, and the alert clears without anyone touching it.
