Departments
MDMS for equipment dealer service departments
The service department is where most equipment dealerships either make or lose money. Technician utilisation, WIP (work in progress) management, parts issuance, and getting invoices out promptly determine whether the workshop is profitable. MDMS replaces paper job cards, whiteboards, and disconnected timesheets with a fully integrated workshop management system that flows directly through to invoicing.

Outcomes
Higher technician utilisation
The technician productivity analytics in MDMS show hours logged, hours billed, and utilisation rate per technician per week. Identify who is under-allocated and why — whether due to unassigned jobs, parts waits, or internal jobs absorbing capacity.
Lower WIP (work in progress)
WIP accumulates when jobs are completed but not invoiced. MDMS flags completed work orders that haven't been invoiced, and the direct invoice generation means there is no data re-entry step between completion and billing.
Faster invoice generation
When a work order is complete, all labour lines and parts used are already in MDMS. Generating the invoice is one click — the labour and parts lines populate automatically. AU Tax Invoice formatted with correct GST breakdown.
Capabilities
Gantt dispatch board
Visual board showing all technicians' jobs across the day. Unassigned jobs shown below. Drag to assign and reschedule. SLA clocks visible per job. PM Due alert for overdue services.
Work order lifecycle management
Status machine: Scheduled → In Progress → Complete → Invoiced. Full audit trail. Customer email notifications at each stage. GPS capture on field job start and completion.
Offline field service app (PWA)
Field technicians install MDMS on their phone. Works with zero signal — caches jobs, accepts photos, captures checklists. Syncs automatically on reconnection. No paper job cards going home.
Parts issuance with live stock update
Issue parts from warehouse directly against a work order. Stock levels update immediately. Parts not yet received shown as 'on order' with the expected PO receipt date.
How it connects
One platform, one data flow
When a customer's equipment arrives at the workshop, the service advisor creates a work order linked to the customer and the unit. Parts required are added — MDMS checks stock immediately. If parts are on backorder, the relevant tasks are gated until the PO is received. When complete, the work order flows directly to Finance for invoicing, and the service history entry is automatically added to the equipment unit's asset passport.
Frequently asked questions
- Does MDMS work for both workshop and field service?
- Yes. MDMS has both a workshop dispatch board for in-house jobs and a dedicated field service mobile app for on-site service calls. The field app works offline — technicians complete jobs, take photos, and finish checklists with zero mobile signal. All changes sync automatically when connectivity returns.
