What rental downtime and hire profit is
A hire machine that is in the workshop is not earning, and a fleet manager usually learns the cost after the fact. The rental downtime report, under Reports > Rental, puts the days on a page: for each hire-fleet machine in the period and branch you choose, how many were on hire, how many were in service because a work order was open, and how many were idle.
From those days it works out utilisation and call-outs, meaning the work orders started in the period, and an estimated lost revenue equal to the days in service multiplied by the machine's contract daily rate. A machine with no contract rate shows Not estimated, and idle days are never counted as lost revenue. A day that is both on hire and has a work order open is shown as plus N on hire and is not counted as lost. The figures also roll up by site.
The same switch adds a hire profit view for the people who can see labour cost rates: admins, dealer principals, branch managers, finance managers and sales managers. It sets invoiced hire revenue, by billing period on issued invoices and excluding GST, against the dealer-borne cost of servicing the machine, grouped by machine, customer, contract and financial year. Both views are read only.

What rental downtime and hire profit covers
- Reports each hire-fleet machine's days on hire, in service and idle for a chosen period and branch
- Shows utilisation, call-outs and an estimated lost revenue while a machine is in service
- Rolls the figures up by site, using the machine's recorded suburb
- Adds a hire profit view: invoiced hire revenue less the dealer-borne service cost, by machine, customer, contract and financial year
Where rental downtime and hire profit stops
Stated as it behaves today, so you can judge the fit before you switch it on.
- Is read only; it changes no records
- Does not count idle days as lost revenue, and machines with no contract rate show Not estimated
- Does not report downtime caused by no operator or crew; nothing records it
- Limits the profit view to admin, dealer principal, branch manager, finance manager and sales manager
Rental downtime and hire profit in a working day
The rental manager suspects a pair of skid steers spend more time in the shed than on site. She opens the report for the last quarter and sees both with long in-service stretches and several call-outs. The profit view, which she can see because of her role, shows the pair earning well below the rest of the fleet. That is the evidence she needs for a replacement conversation with the principal.

Frequently asked questions
- Does idle time count as lost revenue?
- No. Only days in service, with an open work order, are estimated as lost, and only where the machine has a contract daily rate.
- Who can see the profit view?
- Admin, dealer principal, branch manager, finance manager and sales manager, because it uses labour cost rates.
- Does it record downtime when nobody is available to operate the machine?
- No. Nothing in the system records that, so the report does not show it.
