Customer Price File Upload for Parts

Upload a CSV of agreed prices for one customer or customer group; rows land inactive for review, activate, and undo as a batch.

The overview

What price file upload is

A large account sends over their agreed prices as a spreadsheet, and someone then spends an afternoon keying them in. Price file upload turns the file into price rules. It lives under Operations > Pricing > Price file upload.

Choose the customer or customer group, then upload a CSV with a part number, either a price or a percent off, and an optional minimum quantity. MDMS previews the file and lists errors before anything is saved. When you commit, the rows become price rules that are inactive, so nothing changes for the customer at that point. Activate turns them on, and it refuses if a part already has an active rule for that customer or group, so two rules cannot silently compete.

If the file turns out to be wrong, Undo removes the whole upload at once. Quotes and invoices already priced from those rules keep the prices they were given. Access is enforced by database functions and requires the pricing permission rather than only hiding a button. Methods are fixed price and percent off, there are no effective dates, and the file can be up to 5,000 rows.

Each upload is a unit you can reason about. Rows from one file are created together, activated together and undone together, so there is a clean answer to the question of which price list a customer is on. Activation refuses where a part already has an active rule for that customer or group, which means a second file cannot quietly override the first.

Part of these modules

What price file upload covers

  • Takes a CSV of part number, price or percent off, and an optional minimum quantity
  • Applies it to one customer or one customer group
  • Previews errors before commit
  • Creates the rows as inactive price rules; Activate turns them on
  • Undo removes the whole upload's rules

Where price file upload stops

Stated as it behaves today, so you can judge the fit before you switch it on.

  • Supports fixed price and percent off only: no margin or price-break methods
  • Has no effective dates and no per-brand templates
  • Accepts up to 5,000 rows per file
  • Undo removes rules but quotes and invoices already priced keep their prices
A working example

Price file upload in a working day

A fleet customer's purchasing officer emails a new price list for filters, hoses and belts. The pricing clerk picks the customer, uploads the CSV, and fixes the three rows the preview rejected for part numbers that do not exist. She commits, reads the inactive rules once more, and activates them. A week later the customer says one column was wrong; she undoes the upload and loads the corrected file.
